The Hampton University Proton Therapy Institute is seeking an experienced Facility & Maintenance Manager to ensure that all applicable systems and processes related to HUPTI’s facility and grounds, including mechanical, electrical, plumbing and web control components, are in proper working order, are well maintained and maximized for optimal utilization effectiveness and efficiency. This position reports to the Director of Operations.
Duties and Responsibilities
The Facility & Maintenance Manager:
- Performs a variety of tasks related to general facility and grounds maintenance, upkeep and repair, with strong focus on preventive maintenance.
- Demonstrates strong knowledge of, and experience with effective relatedness between facility maintenance, operations and building systems.
- Handles a variety of maintenance and repair needs relating to the facility and its campus including, but not limited to, lighting, carpeting, glazier, electrical, plumbing, masonry, painting, landscaping, irrigation and grounds maintenance.
- Monitors applicable internal systems, and promptly addresses issues.
- Maintains orderly worksite and organized processes so as to minimize any obstacles to patient throughput.
- Maintains OSHA compliance and a safe working environment.
- Annotates and updates work logs as well as Material Safety Data Sheets (MSDS).

Requirements
The successful candidate will:
- Have a minimum of five years of experience.
- Be able to effectively manage multiple projects and assignments under time constraints and changing priorities.
- Have tha ability to demonstrate a basic understanding of HVAC, electrical and plumbing systems, with experience in high tech facility management. Heavy lifting may be required.
- Possess the ability to coordinate workflow and monitor efforts of contract workers onsite, ensuring that HUPTI’s expectations of high quality work and successful outcomes are met, within expected time frames.
- Be experienced in preparing operating and capital budgets preferred.
- Have basic knowledge of medical supply needs of the facility, and may assist in ordering and receiving supplies through a computerized materials system as needed.

Duties and Responsibilities
The process integration coordinator:
- Implements effective policies and procedures compliant with appropriate reimbursement standards, federal and state laws, CMS, regulatory program policies, HIPAA, Protected Health Information (PHI), compliance and reporting responsibilities, and professional healthcare practice standards.
- Establishes system safeguards and policies for billing and medical records system utilization. Ensures that billing codes are appropriately linked and system adherence to insurance carrier contractual agreements and guidelines.
- Implements appropriate preparations for the upcoming transition to ICD-10.
- Understands health insurance plans and entitlement programs, eligibility and coverage criteria, enrollment and application procedures, primary and secondary coverage, pre-authorizations, certifications, benefit coordination and appropriate coding levels. Assists with insurance carrier enrollment and maintains current participation and documentation records.
- Works with internal departments and external partners to correct and resolve process issues, document system requirements and changes, identify areas for improvement, and implement changes and/or system formats to optimize appropriate billing and medical record maintenance.
- Ensures that applicable documentation and processes are appropriately set up for health records for accurateness and completeness, including scanning documentation into Electronic Health Records (EHR).

Requirements
A bachelor’s degree from an accredited university or college preferred (e.g., Business Sciences, Health Sciences or Information Systems). RHIA, RHIT, CCS or CPC certification preferred. Consideration may be given for relevant work experience and/or certifications.
The successful candidate must:
- Possess experience with effective medical facility practice management and patient workflow dynamics, and be able to manage complex, multi-faceted projects.
- Be knowledgeable regarding regulations for Medicare, Medicaid and insurance carriers, facility/provider credentialing, billing, claims, payments, ICD-9, CPT, HCPCS, HIPAA privacy and Security rules, applicable state and federal laws. Duties and Responsibilities
The health information management technician:
- Ensures that all electronic health records, paper records, CD's, and films, etc. are complete, well organized, inventoried, protected and properly maintained.
- Accurately copies, scans and files pertinent documentation into health records, ensuring forms have proper signatures, alerting staff if any documentation is missing.
- Is responsible for appropriately and carefully handling all medical records release requests in accordance with applicable state and federal guidelines.
- Develops and maintains a comprehensive filing system and database for all documents to be retained in the document control center.
- Manages the operation of the document control center to ensure that all users have the latest revision of appropriate documentation in a timely manner.
- Assists in keeping facility forms updated and distributes as needed.
- Prepares for upcoming patient visits in advance by organizing health records for retrieval by staff as needed.
- Ensures that all health records and supporting documents are complete and accessible.
- Is familiar with daily patient schedules, and adjusts priorities accordingly.

- Applying ionizing proton radiation to patients in accordance with the prescription and instructions of the radiation oncologists
